This lesson will show you how to edit custom fields appearance in order to allow you to control the amount of data that has to be entered when you open a case.
Select "Edit Custom Fields Appearance" on the case types page
When you open the dropdown menu opposite a case type on the case types page you will see an option "Edit Custom Fields Appearance". This allows you to edit the "Create Case" page for the selected case type and decide which fields are visible and which are marked as mandatory.
In order to begin doing this, click the "Edit Custom Fields Appearance" button.
Toggle client visibility and mandatory status
You can now edit the visibility of contacts, custom fields and milestones. Setting an field to visible will allow you to fill it out on the "Create Case" page, setting one to mandatory means that it must be filled out in order to create the case.
Toggle custom field visibility and mandatory status
An example of the use of a mandatory field would be a credit check. A checkbox custom field to indicate whether or not a client has passed their credit check could be used to enforce a policy of not accepting clients that have failed.
When a user tries to create a case in which the client has failed a check, they will be unable to proceed as the box is not checked.
Toggle milestones visibility and mandatory status
Setting fields such as milestones as visible allows a user to fill them out on the "Create Case" page instead of having to create the case then access it again to edit.
Save changes
After you are happy with your custom field visibility, click "Save Changes" to save your create case form.
View "Create Case" page
The next time you create a case of the specified type, you will see the fields you have marked as visible now appear and can be filled out.
Mandatory fields must be completed
Mandatory fields must be completed before you will be allowed to create the case.
Additional Information can be filled out
Fields that are visible but not mandatory can be filled out on this page of left until the case has been created.
