This lesson will show you how to create an email batch using your reports.

Access email batches

 

Email batches are a tool that allows you to send a large volume of emails at once. Batches are created when a report and a template are selected.

The report will then run and the email template selected will be generated and sent to each contact that meets the criteria of the report.

This allows you to quickly send multiple emails instead of having to search for the relevant contacts then send each email individually. For example, if you wanted to send an email to every client from a particular company, then you would generate a report to single them out, create the template for the email then create a batch that brings the two together.

The first step in creating an email batch is to access the "Email Batches" page which you can do by clicking "Reports" then selecting "Email Batches".

Create a new batch

 

On the "Email Batch" page, click the "New Email Batch" button to begin creating a new email batch.

Choose the report and template that will create the batch

 

You will now be prompted to fill in the batch details.

First enter a description for the batch, then choose a data source which will be a report that will list the clients that the email should be sent to.

After this, select the email template that you wish to choose as well as the company email address that you want the email to be sent from.

Once you have done this, click "Save Changes" to proceed.

When selecting a report to run as part of an email batch, it must meet certain criteria- a case number must be present in order for an email batch to correctly generate.

You will now have an email batch created. The "Email Batch" page will now list all of the batches that you have created and allow you to run them by clicking the hyperlink in the column under "Last Run".
